Avventua Himalaya Pvt. Ltd is a legally registered trekking company under the “Company Act of the Nepal Government”. We are authorized by the “Ministry of Tourism” to operate Trekking, Mountain biking, City Tours, Jungle Safari Tours and other adventure activities throughout the country.
We are also associated with the Trekking Agency’s Association of Nepal (TAAN), Nepal Mountaineering Association (NMA)-underway, Nepal Tourism Board (NTB) and Nepal Rastra Bank(Central bank of Nepal)
Booking Terms and Conditions
Everything you need to know before your trip bookings, cancellations, and itinerary changes.
Our contract
The contract applies to all bookings made with Avventura Himalaya Pvt. Ltd. By booking a trip with us, you are deemed to have agreed to the below “Booking Conditions” (which constitute the entire agreement between you and us), and we will accept your booking on this basis. The services to be provided are those referred to in your booking confirmation invoice.
Validity
Dates, itineraries, and prices are valid until further change. Dates and itineraries will be changed and updated, and prices are indicative only.
Your Details
At the time of deposit payment, you will be required to fill in the “Client Information Form” (a link will be emailed to you) and sign a copy of our “Trip Disclaimer” (this can be done on arrival). We also need a scanned copy of your passport and digital picture(2 x 2 inches (51 x 51 mm). A copy of a valid travel insurance policy needs to be handed over to us before the trip commences. This information is required to proceed with flight ticket bookings, permits, hotel bookings, and might be needed during the trip for emergency evacuations.

Booking and Payment
- Bookings can be made online, E-mail, by phone and what’s app messages.
- A deposit of 20% of your tour fee is required to confirm your reservation.
- Full payment must be made before trip departure.
- When sending the deposit(20% of the total tour fee), the clients should cover the bank charges themselves. You can hand over the rest of the trip payment upon arrival in Kathmandu.
Cancellation by the Traveler
Cancellation fees will apply if you cancel some or all portions of your booking. A cancellation is only effective when we receive written confirmation.
Cancellation by the Traveller:
- For your peace of mind, we strongly recommend canceling insurance when booking. This will provide you with comprehensive coverage for any cancellation fees.
- As part of our cancellation policy, we will retain the 10% of the tour fee as a service charge for the cancellation made before sixty days from your departure. This ensures we can manage potential cancellations effectively.
- Cancellations made between 30-59 days before the trip departure will receive 30% of the tour fee.
- No refund in less than 30 days.
Cancellation by the Company:
- We are not liable for the cancellation of the whole or part of the itinerary due to natural disasters, weather conditions, or any other unforeseen and unavoidable situations.
- If you leave a trip for any reason after it has commenced, we are not obliged to make any refunds for unused services. You will also be expected to pay any personal costs incurred, such as additional accommodation or transportation expenses.
Booking amendments
All hotels, Domestic flights, and transport logistics are booked according to the predefined itinerary upon entering this contract with Avventura Himalaya Pvt. Ltd. After deposit payment; dates will be fixed, and any changes to:-
- Flight Ticket times, dates, hotel bookings, or destinations will incur a US$30 fee for each change.
Passport and Visas
You must carry a valid passport and obtain the appropriate Nepal visa. Your passport must be valid for six months beyond the duration of the trip. We are not responsible if you are refused entry to a country because you lack the correct passport, visa, or other travel documentation.
Travel Insurance
It is compulsory for all Avventura Himalaya Pvt. Ltd. participants and should be taken out when booking. Your travel insurance must provide cover against personal accident, death, medical expenses, and emergency repatriation, with a recommended minimum coverage of US$200,000 for each category of cover. The insurance should cover the risk of high-altitude adventure and emergency evacuations by helicopter. We also strongly recommend it covers cancellation, curtailment, personal liability, loss of luggage, and personal effects. This insurance is your safety net, providing the necessary protection during your journey.
Flexibility
Flexibility is key in this type of travel. The nature of the trip may require considerable flexibility, and you should allow for alternatives. The itinerary provided for each trip is representative of the types of activities contemplated, but it is understood that the route, schedules, itineraries, amenities, and mode of transport may be subject to alteration without prior notice due to local circumstances, weather, or other events.
Authority on Tour
Authority on Tour: Our group trips are led by a group leader whose decision is final on all matters likely to affect the safety or well-being of any person participating in the trip. This authority ensures that you are always guided and protected during your journey. It’s important to note that failure to comply with a decision made by the group leader or interference with the well-being or mobility of the group may result in immediate expulsion from the trip, without any right to refund. You must always comply with Nepal’s laws, customs, foreign exchange, and drug regulations.
Acceptance of Risk
You acknowledge that the nature of the trip is adventurous and physically challenging, and participation involves a degree of personal risk. You will be visiting places where the political, cultural, and geographical attributes present dangers and physical challenges greater than those in our everyday lives. We use information from government foreign departments and our contacts’ reports to assess whether the itinerary should operate. However, it is also your responsibility to acquaint yourself with all possible relevant travel information and the nature of your itinerary. You acknowledge that your decision to travel is made considering this information, and you accept that you are aware of the personal risks attendant upon such travel.
Optional Activities
Optional activities not included in the trip price are separate from the trip or this contract. You accept that any assistance your tour leader or local representative gives in arranging optional activities does not render us liable for them in any way. The contract for the provision of that activity will be between you and the activity provider. Avventura Himalaya (P) Ltd. will also not be responsible for any cancellations or changes to hotel or flight ticket bookings you made independently.
Claims & Complaints
If you have a complaint about your trip, please inform your tour leader at the time so they can attempt to rectify the matter. If satisfaction is not reached through these means, then any further complaint should be written to us within 14 days of the end of the tour.
Photos and Marketing
You consent to us using images of you taken during the trip for advertising and promotional purposes in any medium we choose. If you have objections, please notify us first.
Privacy Policy
Any personal information we collect about you may be used for any purpose associated with the operation of a Trip (Flight Bookings and Gov. Office related to Permits) only and will not be disclosed to any other parties.

Traveler Responsibilities:
- Travelers are responsible for obtaining necessary visas and ensuring passport validity.
- Proper behavior is expected from all travelers during the trip.
Travel Documents
- It is the responsibility of the traveler to ensure all passports, visas, necessary insurance and health certificates are valid for travel.
- Avventura Himalaya Pvt.Ltd. will not be liable for any costs incurred due to inadequate travel documentation.
Insurance
- Travel insurance is strongly recommended to cover unforeseen circumstances such as cancellations, medical emergencies, and lost luggage.
- Avventura Himalaya Pvt. Ltd. is not liable for any losses or damages not covered by travel insurance.
Health and Safety
- Travelers are responsible for assessing their health suitability for travel and obtaining any necessary vaccinations.
- The travel company is not liable for any health issues or injuries that may occur during the trip.
Force Majeure
- Avventura Himalaya Pvt. Ltd. is not liable for any disruptions or cancellations due to unforeseeable circumstances beyond its control (e.g., natural disasters, political unrest).
